Health and Safety Policy Statement

Smart Manpower health and safety policy complies with Health and Safety at Work Act 1974 which is the primary legislation in the United Kingdom. This policy sets out the general health and safety (H&S) duties of employers towards employees, members of the public, employees themselves and to each other and certain self-employed towards themselves and others. Our policy statement is explained as below:

  • The Company recognises and fully accepts those responsibilities placed upon it by health and safety legislation to provide a working environment where the employee's health and safety is of the utmost importance.

  • To ensure that these responsibilities are met, the Company will endeavour to identify hazards and control risks to health and safety by risk
    assessment and suitable risk control procedures, and provide suitable equipment and materials, health and safety training, instruction,
    information and supervision.
  • The Company is committed to the effective monitoring of health and safety performance through audit and inspections. This forms
    an essential part of the Company's health and safety risk management system.
  • The CEO will ensure that health and safety is given the same prominence as the Company’s other management functions. This includes the provision of adequate resources including staffing levels, time and finance to maintain the health and safety of employees.
  • The Company’s employees also have an important role to play in ensuring high standards of health and safety performance. Employees are
    encouraged to identify hazards, raise concerns about health and safety issues, give their opinions on suitable solutions to health and safety
    problems, participate in training, and contribute to risk assessment and risk control procedures.
  • The Company intends to constitute a Safety Committees which will provide a vital forum for consultation, joint working and employee engagement.
  • All employees, trainees, contract workers and voluntary workers are required to read and follow this health and safety policy, including the
    specific sections on organisation and arrangements. If you have concerns about the policy or your role in helping to achieve high standards
    of health and safety, you should raise these issues with your line manager.
  • Health and safety policy is reviewed annually or earlier if necessary.

Environmental Policy Statement


The management of Smart Manpower is aware of the impact of its business operations have on the environment and will implement the policy of recycling, reduction in the generation of waste and the promotion of environmental awareness. The environmental policy adopts procedures and practices that does not damage environment; does not restrict to enjoyment of the environment by others; promote sustainable improvement that consider the effects of the environment.

To support this policy, we will implement procedures such as all waste paper, junk mail, documentation must be returned to the office for recycling in the post appropriate way that does not compromise the integrity of our clients, employees or company. We will arrange for all printers cartridges and toners to be returned to the supplier or designated agent in the envelopes provided for recycling. We will promote the use of recycling banks for bottles, cans, paper and other waste materials that employees may bring into their place of work. We will also ensure any packaging supplied with any equipment is disposed of in methods that support this policy seek professional advice to adopt further practices that result in generating less paper and less waste. We will adopt where possible the use of alternative non fossil fuels for company vehicles. 

This policy is promoted throughout our company and communicated to all staff via effective training and leadership programme.

Smart Manpower CSR activities focus on its abilities to deliver services through talented, engaged workforce in all area of services that it provides to its customers. We focus on workplace where people feel supported, can develop their skills and have a clear understanding of our business objectives. Data Protection Policy Statement

Smart Manpower takes privacy of personal data seriously and has measure in place to protect the security of your personal data in accordance with Data Protection Act 2018 (“DPA 2018”) and the EU General Protection Regulations “GDPR).

Our Data Protection Policy explains and addresses the obligations of Smart Manpower, a company registered in England and Wales under number 11040643 (“the Company”) towards Data Protection and the rights of employees, workers, contractors and consultants (“data subjects”) in respect of their personal data under Data Protection Act 2018 (DPA 2018) and also under General Data Protection Regulations (EU) 2016/679 (“GDPR”).

The Data Protection Policy sets the Company’s obligations regarding the collection, processing, transfer, storage and disposal of personal data. The principles and procedures set out herein must be followed by employees, workers, consultants, contractors or any other relevant parties at all times working on behalf of Company.

This policy applies to current and former employees, workers, volunteers, apprentices and consultants. If you fall into one of these categories then you are a Data Subject for the purposes of this policy. You should read this policy alongside your contract of employment (or contract for services) and any other notice we issue to you from time to time in relation to your data. The Company has a “Data Controller” who will determine the purpose and means of processing of your personal data.

 This policy does not form part of contract of employment and can be amended by the Company at any time. It is intended that this policy is fully compliant with the Data Protection Act 2018 and GDPR. If any conflict arises between those laws and this policy, the Company intends to comply with DPA 2018 and the GDPR.

Equal Opportunities Policy Statement

Compliance with the equality law is very important for the provision of quality effective service for our Company as the more our staff feels confident that the company is treating them fairly and equally the more they will work hard, honestly, diligently and will always look after the interest of the company. Smart Manpower equality policy provides guidelines not only to the recruiting officers but to the operations staff when they are making decision in deploying an officer to a specific site and identifying best fit for the officer and not the other way round as the more comfortable an officer is with job the more productive can prove to be.

The management of Smart Manpower recognise that discrimination is unacceptable and although equality of opportunity has been a long standing feature of our employment practices and procedure, we have made the decision to adopt a formal equal opportunities policy. Breaches of the policy will lead to disciplinary proceedings and if appropriate, disciplinary action. The aim of the policy is to ensure compliance to Equality Act 2010 and to ensure that no job applicant, current or former employee or worker whether full-time or part-time receives less favourable treatment either directly or indirectly on the grounds of their race, colour, nationality, ethnic or national origin, sex, marital status, gender reassignment, sexual orientation, religion or belief, disability or age.

Lone Worker Policy Statement

Lone Workers as defined by the Health and Safety Executive are, “those who work by themselves without close or direct supervision.” As part of the Smart Manpower management structure it is the duty of care for security guarding operation and HR to ensure the health, safety and welfare of all their staff, as it is also the employee’s responsibility to take reasonable care of themselves and others who could be affected by their work activity. This policy is to assist Smart Manpower Managers in devising a safe system of work and to ensure that a suitable and sufficient risk assessment for their staff can be carried out for Lone Working duties.

The aim of this policy is to ensure adequate control measures are put into place to safeguard all employees who work alone at any point during their contractual duties. All hazards should be identified and all significant risks should be recorded on a risk assessment. These risks should be reviewed on a regular basis especially if there is a change in the situation; a near miss has occurred or an accident or incident has taken place.

Modern Slavery and Human Trafficking Policy Statement

This statement is made according to Section 54 of the Modern Slavery Act 2015 and sets out the steps that Smart Manpower Ltd has taken and is continuing to take to ensure that modern slavery or human trafficking is not taking place within our business or supply chain.

Modern Slavery encompasses slavery, servitude, human trafficking and forced labour. Smart Manpower Ltd has a zero-tolerance approach to any form of modern slavery. We are committed to acting ethically and with integrity and transparency in all business dealings and to putting effective systems and controls in place to safeguard against any form of modern slavery taking place within the business or our supply chain.

Our policy ensure that we are conducting business in an ethical and transparent manner and sets out the organisation’s stance on modern slavery and explains how employees can identify any instances of this and where they can go for help. Our recruitment procedure operates a robust recruitment process, including conducting eligibility to work in the United Kingdom checks for all employees to safeguard against human trafficking or individuals being forced to work against their will. The management through meetings and trainings encourages employees to raise their concerns on how colleagues are being treated or practices within the business or supply chain without fear of reprisals.

Smart Manpower operates a procurement procedure and maintains an approved supplier list. We conduct due diligence on all suppliers before allowing them to become an approved supplier. We require that they confirm to us that they have taken steps to eradicate modern slavery within their business; and they hold their own suppliers to account over modern slavery.

We regularly brief all relevant management and staff members, and ensure that our policies reach every employee, in order that they understand the signs of modern slavery and what to do if they suspect that there is any risk of it taking place within any area of our business or our supply chain. 

We will know the effectiveness of the steps that we are taking to ensure that slavery and/or human trafficking is not taking place within our business or supply chain if No reports are received from employees, the public, or law enforcement agencies to indicate that modern slavery practices have been identified; we achieve a level of communication and personal contact with every employee and their understanding of, and compliance with, our expectations regarding modern slavery.
